Job Description
Main Purpose
Support internal HR and governance processes and provide excellent customer service to staff at member institutions.
Main responsibilities
HR
· Support the Head of HR and Operations with recruitment, onboarding, inductions, staff departures and other areas of work.
· Be the first point of contact for staff on all HR matters.
· Assist the Head of HR and Operations in managing Health and Safety, Wellbeing and EDIA strategies.
· Maintain staff records, including leave and the Hospitality Register.
· Manage internal and external job advertisements through the BUCS Website and external job boards.
· Support the Staff Meeting Group.
· Maintain staff records on all BUCS systems including HR, CRM and website.
Governance and Member services
· Provide support to member groups and meetings including but not limited to the Board, AGM, Advisory Group, Senior Managers Network, Senior Managers Executive, the Student Officer Network and BUCS Student Officers and regions and nations meetings.
· Maintain accurate up-to-date records of member contact details and voting representative records on all BUCS systems including HR, CRM and website.
· Work with the Engagement Team to deliver effective member engagement and communication.
· Support region and nation chairs and collate and distribute the Regions and Nations Update Paper.
· Work with the Governance Officer, support member staff and student officer elections.
· Manage member applications, policies, procedures and records, utilising technology to deliver efficient and professional services.
· Act as the first point of contact for member and public queries via phone, email and webform.
· Provide other support to members.
Office Management
· Manage office suppliers and inventories, including utilities, photocopiers, cleaning, security, stationery and phones in line with budgets.
· Provide administrative support to the Senior Leadership Team, such as arranging external meetings.
· Open and distribute post.
Other
· Design and deliver process efficiencies in relevant areas of the business, utilising technology where appropriate.
· Provide support to the rest of the BUCS staff.
· Undertake duties as can be reasonably expected to ensure the smooth running of the BUCS office

We are looking for someone efficient, with good attention to detail, and the ability to improve processes, to support internal HR and governance processes and provide excellent customer service to staff at member institutions.

Desirable experience, skills, and knowledge
1. Good experience in an administrative role.
2. Experience carrying out HR and governance functions.
3. Experience of working with internal staff groups and external boards or committees
4. Good experience in a customer-facing role and an understanding of the importance of supporting customers.
5. Experience of using initiative and bringing innovation to improve the efficiency and effectiveness of processes, utilising technology where appropriate.
6. Experience using technology to manage data.
7. Strong attention to detail.
8. Experience of minute/note taking of meetings.
9. Ability to work as part of a team and independently to deliver results.
10. Excellent planning and organisational skills to deliver to deadlines without supervision.
11. Ability to multi-task and work on varying areas of the business in parallel.
12. Ability to communicate clearly orally and in writing to suit the relevant audience.
13. Ability to learn, develop quickly and provide collegial support to other members of staff.
14. Ability to maintain confidentiality.
