Job Description

The Office & Operations Support Manager is a newly introduced role within the Finance & Operations team, responsible for supporting the smooth and effective day-to-day running of the organisation. The role provides practical coordination and oversight across core operational areas including office management, administrative processes, facilities, and organisational systems.

In addition, the role provides coordinated support to the COO, CEO and Board, ensuring the effective organisation of meetings, governance processes, and associated documentation.

Working closely with the Chief Operating Officer (COO), the postholder will help ensure that operational and governance activities are well organised, efficient, and responsive to organisational needs, while contributing to continuous improvement in ways of working.

Key Responsibilities:

·       Oversee the day-to-day running of office environments, ensuring a safe, well-maintained and effective workspace.

·       Support the maintenance and ongoing review of core operational policies and procedures (e.g. Health & Safety, Business Continuity, Data Protection), ensuring they remain up to date and compliant.

·       Provide high-quality administrative and coordination support to the COO and CEO, including diary management and the organisation of Board and Committee meetings covering scheduling, venue arrangements, and logistics.

·       Provide logistical support for internal and external events, including planning, coordination, and delivery of meetings, staff events, and stakeholder engagements.

·       Support the COO with coordination of SIS operational risk register, proactively identify and escalate operational risks, supporting timely mitigation and resolution.

·       Support onboarding logistics and day-to-day organisational activities, contributing to a well-organised and effective working environment.

Competencies, Skills and Experience

We’re looking for someone who brings:

Essential

·       Strong organisational and coordination skills with demonstratable experience of working with Leadership / Board

·       Ability to prioritise and manage competing demands

·       Strong communication and interpersonal skills

·       Practical, solutions-focused approach

·       Attention to detail and commitment to accuracy

Desirable

·       Relevant qualifications such as First Aider, Fire Warden and/or H&S

·       Basic understanding of financial or budget processes

·       Experience within the charity, social enterprise, public sector or mission-led environment, with an understanding of values-led organisations.

·       Experience of working in small teams or part-time role, demonstrating autonomy, prioritisation and the ability to deliver impact with limited capacity.
