Reports to:         Head of Office, People and Governance (HOPG)  

Direct reports:    none  

Location:            27 Swinton St, King’s Cross, London, WC1X 9NW, can be hybrid or remote 

Status, hours:    Permanent, full-time  

Salary:               Grade D, salary in the range of £30,170 - £33,262 (plus benefits) possibly more for an exceptional candidate. 

 

Role Summary   

This role supports the Head of Office, People and Governance, the CEO and the Board of Trustees. It ensures efficient and effective organisation and support in all three areas as well as being the first point of contact for the charity: answering our phone and directing enquiries as appropriate.  

  

Key Tasks and Responsibilities   

Executive Support: 

  • Help the CEO to manage their e-mails, calendar, travel and correspondence.   

  • Proactively suggest and implement new and better ways to manage the CEO’s e-mails, calendar, travel and correspondence. 

  • Schedule regular meetings for the CEO, including their catch-ups and annual and mid-year reviews with their direct reports.  

 

Governance:   

  • Independently organise the charity’s Governance activity, including; 

  • setting up trustee meetings 

  • finding and confirming dates 

  • making room/venue bookings 

  • collating and sending board papers 

  • taking and circulating minutes 

  • tracking the progress of agreed action points 

  • booking trustee training 

  • supporting with trustee recruitment 

  • scheduling Executive Team meetings  

  • Use knowledge of charity governance to support the HOPG in monitoring governance action plans  

  • Maintain governance records, such as the register of interests, and support the HOPG in maintaining the charity’s Charity Commission and Companies House records. 

  • Support the HOPG and CEO in onboarding and inducting new trustees 

   

Other   

You will also be expected to:   

  • Provide telephone and email support for the main contact line two days a week. 

  • Attend training courses and events as required and share learning with other staff and trustees, as relevant.   

  • Occasionally work weekend and evening hours, for which time in lieu will be given. Evening hours are required for each of our five quarterly Governance meetings (20 meetings in total), three of which may run until 8.30pm.   

  • Undertake other work as requested by your line manager or the CEO.    

  • Support the wider team with events such as Dry January, Sober Spring, etc
