Job Description
Job purpose
Working in a team of seven and reporting to the Grants Manager, you will contribute to the effective and efficient running of The Clothworkers’ Foundation, including its grant-making. You will assist members of the Foundation team by providing administrative support whilst managing your own workload.
Main responsibilities:
Supporting grant administration
Processing grant applications on the Blackbaud Grantmaking CRM database, including screening applications against guidelines and identifying eligible applications
Administering the acknowledgement and refusals process
Administering the grant payment process
Maintaining accurate grant records on the database
Supporting decision-making and governance
Scheduling Board and Committee meetings and managing members’ attendance at face-to-face and virtual meetings
Preparing and distributing agendas and papers electronically for Board and Committee meetings
Minuting Board and Committee meetings, with support from other team members
Tracking our grant-making spend across the year
Supporting communications
Acting as first point of contact for Foundation correspondence, and conducting routine correspondence
Updating the Foundation website
Managing grants-related events
Other duties
Scheduling team and external meetings
Booking courses, events, and travel
Maintaining records of departmental expenditure
Collaboration with colleagues across The Clothworkers’ Company, including attendance at Company events.
Liaising with third parties such as suppliers
Performing such other tasks as reasonably required by the Grants Team.
Person Specification
Experience
Essential
At least two years working in administrative roles
Experience managing a varied workload and a range of deadlines
Experience of working as part of a team and contributing to achieving team goals and decisions
Desirable
Experience working at grant-making or other social sector organisation
Experience supporting a team across several functions
Experience supporting ‘customer’-focussed processes to deliver an excellent service
Experience in scheduling and supporting meetings, including Board meetings.
Skills
Essential
Highly proficient using MS Office applications – particularly Outlook, Word, Excel
Experienced in using CRM packages to manage, distribute, and update work
Experienced in Zoom and MS Teams set-up for virtual/hybrid meetings
Strong communication and interpersonal skills
Desirable
Experienced in using the Blackbaud Grantmaking CRM
Experienced in using Board Intelligence software to upload and manage papers

Highly organised and methodical approach to managing workload, including competing deadlines
Flexible and collegiate attitude to working across a team, and supporting colleagues where needed
Proactive in spotting opportunities to optimise our processes and raising these with colleagues
