Job Description

Purpose of the Role:  

You will be a primary point of contact for our potential and existing partner charities, helping them to find the right programme of support for their challenges, as well as maintaining administrative support around this. As Charity Engagement Executive you will be part of the Charity Experience team at Pilotlight but will work closely across all teams. 

This is a key relationship, sales and systems role, helping to ensure that we have the right charity partners coming forward for the right programmes so that we can help them make a positive difference. You do not need to have worked with charities before, but you will have an affinity with Pilotlight’s mission and values and be excited about recruiting and working with organisations tackling some of society’s biggest issues.  

You will be an excellent communicator and team player, enjoying variety in a fast-paced environment, as well as being organised and pro-active with a can-do attitude. 

Key Areas of Responsibility: 

You will deliver an exception experience for our Partner Charities by:  

1. Being a primary point of contact for charities who are interested in our programmes, providing excellent customer care  

2. Contributing to and leading on charity recruitment activities, including  

  • building relationships with key referral points for charities and engaging in direct contact with potential charities, 

  • leading conversations to explore charities’ needs and ensuring these are clearly recorded to support programme delivery,  

  • ensuring necessary documentation is up to date and available in our database (we use Salesforce),  

  • creating and maintaining reports using Salesforce and other tools such as Microsoft Excel to track recruitment , 

  • carrying out diary management and scheduling of your own meetings, 

  • collaborating with the Marketing and Communications team to support in dedicated charity recruitment and marketing activities, including event management and copywriting. 

    3. Ensuring the smooth operation of the Charity Experience team, including through 

  • monitoring the status of responses to charity queries and applications, ensuring timely replies,  

  • managing the Charity Recruitment mailbox, ensuring correspondence is responded to quickly and efficiently, 

  • managing the administration and event logistics of a key partnership, the Weston Charity Awards, which Pilotlight runs in collaboration with the Garfield Weston Foundation .  

    4. Other duties as agreed with the Charity Experience Manager and Head of Charities 

Experience and Competencies: 

You do not need to have worked in the charity sector before and there is no minimum number of years of experience required, but we are looking for someone with an affinity with Pilotlight’s mission and values, who is excited about working with organisations tackling some of society’s biggest issues  

  • Strong organisational skills and attention to detail is essential in this role. 

  • An affinity for sales, able to identify and recruit new charity partners 

  • A strong communicator (verbal and written) who is personable, calm and dependable  

  • Ability to be flexible, multi-task and work well in a fast-moving environment  

  • Confident in day-to-day administrative tasks  

  • Experience using Microsoft 365 suite and Customer Relationship Management databases (ideally Salesforce) is an advantage.
