The Advancement Services Coordinator works on a reimagined and growing team dedicated to building a best-in-class culture of philanthropy at NOLS. The Advancement Services Coordinator plays a vital role in fulfilling this commitment through gift processing and stewardship, supporting the Advancement team and providing excellent customer service to our community of alumni, donors, volunteers, and staff.

What does an Advancement Services Coordinator do?

The Advancement Services Coordinator is the go-to person for gift processing, administrative coordination of resources and information to support the Advancement team, and monitoring and addressing incoming communication to the department. 

In this role, you will be involved in the following activities:

  • Processing all gifts and pledges, including payroll deductions. Generating acknowledgment letters, receipts, pledge reminders, and thank you letters in accordance with the acknowledgment protocol, assuring templates stay up-to-date and accurate. 

  • Weekly monitoring of key accounts related to donations and donor information.

  • Reception and customer service that includes answering the department 800 number and monitoring and fielding department email inboxes, ensuring coverage when unavailable and creating auto-responses when the office is closed.

  • Communicating daily gift information to the Advancement team and providing end-of-month documentation for financial reconciliation.

  • Auditing and updating constituent contact information, ensuring data entry guidelines are followed.

  • Assistance and production support for internal mailings and donor outreach, as requested.

  • Database maintenance projects, as requested.

  • Database testing and functionality assessments, as requested.

  • Assisting in travel coordinator for leadership team donor meetings and events, as requested.

  • Manage and update written SOPs for all processes above, including, but not limited to: gift processing, soft credits, donor commitments, acknowledgements and receipts, split gifts, and more.

In your first 6 months, you will: 

  • Immerse yourself in the nuance and complexities of NOLS Advancement data.

  • Complete in depth training on NOLS Fundraising CRM (Currently Mission CRM).

  • Achieve proficiency in daily gift processing and acknowledgment.

What makes a great Advancement Services Coordinator at NOLS?

  • 1-5 years with non-profit fundraising department operations experience.

  • Experience in fundraising CRMs (1-3 years)
