AMBASSADOR RELATIONS EXECUTIVE

 

Duration:                    Permanent

Hours:                        35 hours per week. Other flexible arrangements will be considered.

Disclosure Level:     Basic - This role involves some regulated activity/ direct work with children

Reports to:                 Senior Ambassador Relations Manager

ABOUT THE TEAM

The Ambassador Relations team works within the Communication Department and Public Engagement Directorate. We exist to empower and develop a strong and diverse stable of Ambassadors and High Profile Supporters to champion children’s rights and influence the public and those with power in the UK to create change for children.

Guided by the UNCRC we and our team of Ambassadors and High Profile Supporters are brave, smart, honest, hopeful advocates and communicators who amplify the voices of children and young people whilst raising funds for our programmes.

 

ABOUT THE ROLE

The Ambassador Relations Executive provides support for the Ambassador Relations team and the Head of Ambassador Relations. Your role will be to ensure that the team’s admin systems and records are systematic and accurate, and that communications between team members and the wider organisation are maintained to a high standard.

You will maintain, support and develop systems and procedures to support the Ambassador Relations team. You will need to have excellent communication skills, both written and verbal, and the ability to be able to work to tight deadlines and manage conflicting priorities. You will also manage key external stakeholders including relationships with some of our high-profile supporters and steward a number of dedicated ambassadors and their teams to support fundraising activities, elevate the organisation’s voice in the media, and mobilise the public to act on child rights and deliver towards organisational priorities.

 

What we will expect you to achieve

  • Be a proactive member of the Ambassador Relations Team, contributing to team meetings, planning sessions and wider team activities.   

  • Support the Ambassador team to work efficiently with key internal teams, prioritising incoming requests, assisting where necessary and project managing as required towards planned deliverables.  

  • Monitor Ambassador activity to support creation of impact reports to ascertain levels of engagement on the back of Ambassador led projects.

  • Develop and maintain Ambassador Relations Team systems and be proactive in assessing areas where systems and processes could work better, whilst managing and maintaining accurate databases and files.

  • Be proactive and proficient in managing the Ambassador Relations’ team use of:

    • SharePoint and Microsoft Teams

    • Microsoft office suite, including Publisher for design

    • SRM / CRM management tools (salesforce)

    • WordPress

    • Social media

  • Provide a support service as required including, but not limited to; setting up meetings, preparing papers and agendas, taking and distributing minutes, managing specific supplies, managing and updating team’s files.

  • Support the team and coordinate specific projects briefs for Ambassadors and all related logistics.

  • Manage the team budget; process invoices, expenses and facilitate all other finance requests.

 

Ambassador Relations specific

  • Provide logistical and behind-the-scenes support on general Ambassador led projects, requests and initiatives arising from other areas of UNICEF UK or externally

  • Undertake arrangements for filming activities, events and trips with High Profile Supporters and Ambassadors.

  • Act as a point of contact for other teams within UNICEF UK and Global headquarters on enquiries relating to the team.

  • Manage relationships with some of our ambassadors, high profile supporters and their teams on behalf of the Ambassador Relations team, and act as a second key contact on a few other relationships.

  • Represent Ambassador Relations internally, embedding Ambassadors requests strategically into our priority working cross-organisationally

  • Support Ambassador Relations Managers with the development of specific relationships, including inductions, annual plans, monitoring and evaluation and risk management.

  • Support Ambassador Relations Managers with maintenance of the Ambassador prospecting and appointments process

  • Record of all activities and requests including our annual evaluation and international requests.

  • Travel within the UK or internationally to support relevant visits, where necessary

 

Other 

  • Input all our stable related data into our database accurately and in line with data protection legislation

  • Support the team with digital stewardship tools, including the Ambassador and High profile Supporter web-pages and e-newsletter.

  • This role occasionally requires the post holder to work evenings or at weekends.

Relevant experience

Demonstrable experience of working in a office environment providing administrative support for more than one person. Experience working with High Profile Individuals.

 

Specific knowledge and skills

Managing supporter information using electronic (e.g. databases, Microsoft Office) and paper systems, ensuring accuracy and attention to detail.
