Job Description

Overall Purpose of the role

Artsmark is the Arts Council’s national schools programme, celebrating schools that bring learning to life through arts, culture and creativity. You will provide administrative support to the Artsmark team, supporting delivery of the Artsmark programme.

 

Main day to day responsibilities

You will be part of a small team and be a key contributor to day-to-day delivery of the Artsmark programme, supporting schools to progress from registration to award. You will be the first point of contact for Artsmark schools, responding to queries and liaising with internal and external colleagues to ensure effective, high-quality delivery of the programme.

You will provide administrative assistance to the Artsmark team, arranging internal and external meetings, collating and distributing agendas and papers, minute-taking and following up on actions, and providing support for cross-team working groups and other committees, as required.

You will undertake small research tasks, preparing briefings, gathering and disseminating information, and running administrative support systems for the team, including workload planning, data entry, record filing and archiving. You will support programme evaluation activities and contribute to maintenance and development of programme resources. 

You will provide support for financial procedures including: liaising with schools and ACE Finance team about payments; raising purchase orders and processing invoices; and supporting the Senior Officer with budget management.

You will contribute to Artsmark marketing and communications activities including: monitoring merchandise stock levels; collating and distributing materials; and supporting digital marketing activities such as website updates.

You will combine your ability to plan and prioritise with a flexibility and curiosity to contribute to other aspects of the Artsmark team’s activities outside of your day-to-day responsibilities.

You may be required to travel to other Arts Council locations across England for meetings and to represent Artsmark at external events.

Key relationships

You will have no formal line management responsibility. However, you will be expected to work in a fully interconnected structure that relies on collaboration, flexibility and the ability to operate within both formal and informal reporting relationships. You will work closely with colleagues in the Children and Young People team, the Finance department, Communications Team, Customer services and others. You will liaise with our delivery partner – Goldsmiths, University of London.

 

What do I need to bring to the role?

Essential (Skills, Knowledge and Behaviours)

To succeed in this role, you will be highly organised with the ability to prioritise a varied workload and exercise effective judgement when managing complex tasks, understanding the importance of attention to detail.

You will be confident in working independently as well as working and collaborating with the wider team.

You will have strong interpersonal and communication skills – both speaking and in writing – and the ability to communicate in a confident and engaging manner with a range of stakeholders.

You will feel confident with key Microsoft Office 365 programmes, including specifically Microsoft Excel and Outlook and happy to learn and take on responsibility for processes in a range of IT systems such as Power Apps.

You will enjoy taking pride in delivering high-quality customer service and programme delivery and have an appetite to learn and develop your skills and knowledge.

Finally, you will also have a good understanding of the Arts Council’s duty as a public body under current diversity legislation, the current diversity agenda and its relationship to the arts.

Desirable (Skills, Knowledge and Behaviours)

Knowledge of and interest in cultural education in relation to children and young people.
