Job Description

The British Academy – the UK’s national body for the humanities and social sciences - is seeking an Individual Giving and Data Manager to join our Development Directorate on a fixed-term basis, providing key support in the delivery of the Academy’s fundraising efforts, including supporting the implementation of a new CRM system.

ROLE PURPOSE / OVERVIEW

The Individual Giving and Data Manager will work closely with the Head of Development to manage data and deliver communications to individual donors at the British Academy. This will include a regular giving programme, with a target audience of the Academy’s Fellow, and fundraising from public events attendees. This role is unique in that it sits within the small, friendly Development Directorate, and will also work closely with colleagues in the Academy’s Digital Team. 

The Academy is currently transitioning its CRM system to Salesforce and the Individual Giving and Data Manager will work closely with the Project Team to achieve this. A core duty of the role involves the migration of data and helping to coordinate and build new fundraising processes within the new system. To do this, the post-holder will work collaboratively across the organisation to ensure that communications to Fellows and other individual donors are co-ordinated. You will be an effective communicator, able to collaborate with both external and internal stakeholders. A keen attention to detail and a proactive approach to problem solving, in terms of planning, prioritisation and demonstrating resilience when faced with adversity is essential.

You will also coordinate fundraising-related communications across a variety of platforms, working closely with colleagues in the Digital Team. This includes thanking donors in a timely and sincere manner, delivering stewardship events for donors, and reporting on activities in the annual report.

KEY RESPONSIBILITIES

CRM/Data Migration and Set Up

To act as the Development team’s lead for the new CRM database including: 

  • Working with the CRM Implementation Project Lead, CRM Project Assistant and Database Manager to ensure that data migrates to the new system in an appropriate format and can be accessed/reported upon. 

  • Supporting the Team in using the new database; working with the CRM Team to ensure that events, reports, templates and other functionality are working as expected. 

  • Utilizing the new CRM database, helping to create a new process for organising and managing fundraising appeals and communications. 

  • Managing all individual giving information (regular giving, one-off gifts and legacies) in the CRM and proactively enhancing the data.

Individual Giving

To implement the regular giving strategy focusing on Fellows and event attendees including: 

  • Implementing a reduced annual cycle of appeals appropriate to a post-capital-campaign year. 

  • Working with the Digital and Public Events Teams to build and implement a digital fundraising platform integrated into the soon to be re-launched Public Events Programme.  

  • Coordinating with the CRM Implementation Project Lead and CRM Project Assistant, to develop/enhance donation webpages linked to the new CRM. 

  • Managing the Academy’s contactless donation point ensuring maximum exposure during large public events (the Summer Showcase (July) and Open House (September). 

  • Working with the Finance Team, manage the reconciliation processes for individual giving income. 

  • Working with colleagues to maximise income from Gift Aid – ensuring that all declarations are collected and recorded correctly.

Stewardship/Cultivation

To implement a robust stewardship process for individual givers to the British Academy including: 

  • Producing timely and sincere acknowledgement, ensuring all individuals are thanked for their support and, where appropriate, receive updates on the impact of their gifts.  

  • Working with the Cultivation and Engagement Manager to successfully deliver stewardship events for donors to the capital campaign in the autumn.  

  • Working with the Stewardship manager to ensure that donors are recognised for their support, in line with Academy policy, including acknowledgment on donor boards and in the annual report.

Communications

To lead on creating fundraising communications for Fellows and event attendees working closely with colleagues in the Development, Fellowship Engagement and Communications Teams.  

  • Working with the Digital Team, manage development related content within the Academy’s website. 

  • Developing a programme of communications across all Individual Giving audiences which is consistent and spans a range of channels. 

  • Coordinating fundraising-related communications across relevant Teams within the Academy. 

Other general requirements

  • To ensure that all individual giving and legacy fundraising activity is undertaken in compliance with regulations and legislation including GDPR and is in-line with best practice.   

  • To keep up to date with latest developments affecting fundraising across the sector including innovations in digital fundraising and the potential application of new technologies to fundraising at the British Academy.  To attend conferences, participate in forums and read sector media.  

  • To support other areas of fundraising including attending events as required.  

  • Other duties as may be reasonably required by the Director of Development or the Head of Development.

QUALIFICATIONS

Undergraduate degree – desirable but not essential

  • Knowledge of digital communications, content strategy, digital design, accessibility – preferably in a fundraising context. 

  • Skills in writing fundraising communications. 

  • Skills in general income processing – preferable. 

  • Knowledge of organisational/database change projects. 

  • Skills in planning and managing a full cycle (12 months) of fundraising appeals. 

  • Excellent written and oral communication skills. 

  • Knowledge of fundraising regulations, data protection, including GDPR, and compliant data capture and recording. 

  • Knowledge of working within Higher Education / with academics – preferable.
