Each year, we directly support thousands of international students. We provide advice, training and policy guidance to over 400 members, which includes every university in the UK, many further education colleges, independent schools and students' unions.

About the Events Assistant 

Role title: Events Assistant 

We are looking for an Events Assistant to support the delivery of UKCISA’s influential programme of events and sector-leading training. This role is central to ensuring smooth operational delivery and an exceptional experience for delegates, speakers, sponsors, stakeholders and trainers across our diverse portfolio – including our flagship annual conference, #WeAreInternational Awards, bespoke online training programmes and member webinars. Reporting to the Events and Training Manager, you will provide essential administrative and logistical coordination that underpins UKCISA’s mission to champion international student success. 

UKCISA’s dynamic events and training function is dedicated to creating impactful and reactive knowledge-sharing opportunities for UKCISA’s membership of education professionals. The Events Assistant will be key to maintaining our reputation for excellence through strong organisation and proactive problem-solving. 

Successful candidates will be invited to an online interview on 8th or 9th September.  

Core responsibilities 

Events & training administration 

  • Support end-to-end logistics for in-person and online events (e.g., Annual Conference, #WeAreInternational Awards, online training). 

  • Manage registration systems, delegate communications and enquiries. 

  • Coordinate speaker and trainer arrangements. 

  • Maintain accurate databases for events, training, delegates, and suppliers. 

  • Process bookings, invoices, and financial tracking with the Events and Training Manager. 

  • Support cross-organisational projects and membership activities as required. 

Operational support and programme delivery 

  • Assist with on-site event delivery (Annual Conference and #WeAreInternational Awards). 

  • Assist in the setting up and hosting of training and webinars, including setting up Zoom links and managing content on Cvent. 

  • Work with the Events and Training Manager to collate and analyse delegate feedback. 

  • Work with UKCISA’s Communications team to promote events and training and draft event webpage and delegate communications. 

Stakeholder relations and partnerships 

  • Act as a contact point between UKCISA’s trusted associate trainers and freelancers, coordinating contracts of engagement and supporting in the development of training programme delivery. 

  • Offer excellent customer service in all communications and liaison eg training enquiries. 

  • Support the Head of Engagement and Partnerships with initial sponsor enquiries and onboarding.  

  • Liaise with sponsors and commercial partners to ensure timely communications and logistics coordination. 

About you 

This is a fast-paced role requiring exceptional organisational skills and a passion for creating seamless experiences. While events or training coordination experience is beneficial, we prioritise proactive problem-solvers who thrive in collaborative environments. We provide comprehensive support and training for the right candidate. 

Key Criteria: 

  • Proven administrative skills with strong attention to detail and ability to manage competing priorities. 

  • Excellent written and verbal communication skills. 

  • Proficiency in Microsoft Office, CRM/database systems, and virtual platforms (e.g., Zoom). 

  • Ability to work independently and collaboratively within a team. 

  • Proactive approach to troubleshooting and improving processes. 

  • Commitment to UKCISA’s values and interest in international education. 

  • Experience coordinating in-person/virtual events or training programmes. 

 

Desirable: 

  • Experience of working within a membership organisation, education provider or students’ union. 

  • Interest and understanding of international student experience.  

  • Knowledge or experience of international higher education.

We are currently working on a hybrid basis. Our staff mainly work from home, but we have an office in London for collaborative work and for staff who want access to an office space. We also meet in person for regular all-staff days in London. We welcome applications from throughout the UK, as long as you are able to join us in London for one day every month when required.  

Travel to member and student events across the UK, including overnight travel, is occasionally required and costs for these are covered by UKCISA.

You must have the right to work in the UK.
