Role Overview

We are seeking an experienced Project Coordinator to provide dedicated support to the Director of Property & Operations on the delivery of a major EPC improvement program, taking an existing building from EPC B to EPC A (best-in-class for a non-new build) within a 12-month timeframe.

This role will act as a trusted right-hand support, combining project coordination, program governance, and administrative support to ensure the project is delivered efficiently, on time, and to the required quality and sustainability standards.

The successful candidate will be highly organised, proactive, and confident working closely with the Director while coordinating a complex program involving technical consultants, contractors, and senior internal stakeholders.

Key Responsibilities:

Director & Program Support

  • Provide direct, day-to-day support to the Director of Property & Operations on all aspects of the EPC improvement program

  • Act as a central coordination point for the program, ensuring momentum, clarity, and accountability

  • Manage priorities, actions, and deadlines on behalf of the Director

Project & Program Coordination

  • Maintain the master project plan, action logs, decision logs, and risk/issue registers

  • Track milestones, dependencies, and deliverables, proactively flagging risks or delays

  • Support program governance, ensuring accurate and timely documentation

Administrative Support

  • Manage diaries, meetings, and project-related commitments

  • Prepare agendas, papers, and presentations for project boards and steering groups

  • Take accurate minutes and ensure actions are tracked through to completion

  • Act as a key interface between the Director and internal/external stakeholders

Stakeholder & Consultant Engagement

  • Coordinate meetings and communications with contractors, engineers, sustainability consultants, and assessors

  • Support engagement across property, finance, operations, and leadership teams

  • Assist with procurement processes, approvals, and consultant onboarding

Reporting & Documentation

  • Produce regular project status reports, dashboards, and briefing notes for the Director

  • Maintain a structured and auditable document management system

  • Support compliance, assurance, and EPC evidence requirements

Financial & Commercial Support

  • Track project spend, invoices, and approvals against agreed budgets

  • Support cost reporting, forecasts, and program updates

  • Assist with contract administration and variations where required

Skills & Experience

Essential

  • Proven experience as a Project Coordinator or Program Support professional

  • Experience supporting senior leaders or Directors on complex programs

  • Background in property, construction, refurbishment, or sustainability projects

  • Strong organisational skills with exceptional attention to detail

  • Confident communicator, able to engage with senior stakeholders and technical teams

  • Advanced proficiency in Microsoft Office (Excel, Word, PowerPoint, Outlook) and Google Suite

Desirable

  • Experience supporting EPC, energy efficiency, retrofit, or sustainability initiatives

  • Familiarity with construction or building services environments

  • Experience working within formal project governance frameworks

Location: This role is based in Blackfriars, London, hybrid working arrangement with a minimum of two days in the office

Term:  12 month fixed-term contract

Hours: This is a full-time role but we offer a range of flexible working arrangements and encourage our people to take advantage of them. Many do.
