Job Description

Main Purposes

To lead on and deliver all BUCS’ non-sporting member events including, but not limited to Conference, Annual Awards, Winter Summit and Facilities and Operations Forum.

Main duties and responsibilities

 Event Management

  • Manage the content, planning, organisation and delivery of all BUCS non-sporting member events.

  • Manage the tender and contract negotiation for all venue selections, including the relationship management with all external suppliers, and event stakeholders.

  • Develop and implement event plans for each event including budgets, timelines, key milestones and risk management.

  • Design and implement an effective ticketing plan for all non-sporting member events.

  • Produce post-event evaluation reports and analysis covering all areas and, where appropriate, make recommendations    for improvements and future activity.

  • Work with all internal teams and collectively with the membership to design event content.

  • Ensure excellent customer service and care are delivered throughout.

  • Continually review the HE and sports sector trends, interests, needs and demands to help guide and shape the direction of the events.

  • Create staffing plans for events and ensure staff are fully briefed and aware of responsibilities.

Operations

  • Design, manage and monitor associated event budgets including regular reforecasting.

  • Work with the Events Team to ensure key event planning processes are met.

  • Work closely with the Digital and Engagement Team to create marketing and communication plans, assets  and the efficient delivery of digital content for all events.

  • Work collaboratively with the Governance and Business Services teams to ensure good governance and policy and process are implemented and followed at all times.

  • Work closely with the Commercial Team to successfully integrate partners into member events and support the delivery of partner objectives associated with events and grow  commercial revenue through event delivery.

  • Continuously engage with the membership, to understand the marketplace and their interests, needs and demands.

    Other

  • Manage and develop relationships with all other BUCS staff.

  • Undertake duties as can be reasonably expected to ensure the smooth running of BUCS and in compliance with BUCS policies.

This role will involve weekend and evening work and overnight stays at BUCS events.

Person Specification

Essential knowledge and experience

Demonstrable track record of leading the organisation, management and implementation of successful events that achieve and exceed delivery and income expectations.

  • Exceptional time management skills with experience of managing multiple concurrent projects.

  • Experience of organising special one-off, large scale or high-profile events such as award evenings, conferences or similar.

  • Ability to propose, set, manage and monitor large income and expenditure budgets.

  • Experience of analysing events and driving improvement and innovation.

  • Experience of partner and stakeholder management.

  • Experience of identifying and securing event venues, and contract management.

 Desirable knowledge and experience

  • Higher education and or sport sector.

    Experience of working within a member organisation.

Essential skills and abilities

  • Ability to work with a range of internal teams to deliver high-quality events.

  • Ability to plan systematically and manage resources in an organised way, prioritising workload and meeting deadlines.

  • Creative, innovative and enthusiastic, with the ability to inspire and motivate others, both internally and externally.

  • Excellent interpersonal skills with the ability to work both as part of a team and on your own initiative.

  • Excellent written and verbal communication skills, with the ability to communicate with and negotiate with a wide range of people at all levels.

  • Proficiency with relevant Microsoft software packages, especially Excel.

Candidates must have a valid UK driving licence to be eligible for the role.
