The Advancement Services Coordinator works on a reimagined and growing team dedicated to building a best-in-class culture of philanthropy at NOLS. The Advancement Services Coordinator plays a vital role in fulfilling this commitment, supporting the Advancement team and providing excellent customer service to our community of alumni, donors, volunteers, and staff.

What does an Advancement Services Coordinator do?
The Advancement Services Coordinator is the go-to person for administrative coordination of resources and information to support the Advancement team, which includes Alumni & Donor Relations and Fundraising, and monitors and addresses incoming communication to the department.
In this role, you will be involved in the following activities:
Processing all gifts and pledges, including payroll deductions.. Generating acknowledgment letters, receipts, pledge reminders, and thank you letters in accordance with the acknowledgment protocol, assuring templates stay up-to-date and accurate.
Reception and customer service that includes answering the department 800 number and monitoring and fielding department email inboxes, ensuring coverage when unavailable and creating auto-responses when the office is closed.
Setting up meetings with internal and external groups, at times managing numerous and complicated schedules, and assisting in organizing team retreats, events, and meetings.
Communicating daily gift information to the Advancement team and providing end-of-month documentation for financial reconciliation.
Training department staff on office systems, department computer applications, and gift processing.
Maintaining the department’s subscriptions and professional memberships, while vetting and recommending training.
Coordinating documents and scheduling for recruiting, hiring, and onboarding new team members.
Auditing and updating constituent contact information, ensuring data entry guidelines are followed.
Organizing and maintaining the department’s shared drive and constituent digital files, while safeguarding confidential information.

In your first 6 months, you will:
Schedule meetings with each member of the Advancement team to learn and understand each role and the responsibilities of each work unit. Review the Advancement Plan to learn the essential contributions of the Advancement Services Coordinator role in meeting goals and objectives. Identify personal training objectives to support department goals.
Become proficient in processing gifts in the donor database and in using Microsoft and Google suites and other CRMs and software programs, including the NOLS phone system.
Learn and provide basic database query and reporting for use by members of the Advancement Services team.
Provide calendaring and logistical support for upcoming meetings and events.
Initiate and oversee the organization and clean up of the Advancement shared drive.
