Job Description

Overall Purpose of the role

You will provide administrative support to the Director, Business Transformation. These posts are within the national Business Transformation team.

 

Main day to day responsibilities

You will provide administrative assistance to senior managers and directors in the Business Transformation Team. This will involve:

 servicing and event-managing internal and external business meetings

  co-ordinating administrative processes including:

collating and distributing agendas and meeting papers;

 note-taking

following up on actions;

 providing support for cross-team working groups and other committees arising out of the Business Transformation Team and occasionally the Transformation Board, as required.

 

You will provide personal assistance to the Director, Business Transformation promoting optimal use of time by coordinating meetings and making travel arrangements and ensuring that the director is well briefed in advance.

 

You will undertake small research tasks, preparing briefings, gathering and disseminating information, and running administrative support systems for the team, including workload planning; data entry; risk management, record filing; and archiving.

 

You will provide support to the team’s administrative procedures: raising purchase orders and contracts; producing budget reports; reviewing information on Arena and processing payments as requested.

 

You will respond to queries and liaise with internal and external stakeholders.

 

You will combine your ability to plan and prioritise with a flexibility and curiosity to work beyond this area of work, contributing to areas outside of your daily responsibilities within the Business Transformation team’s activities.

 

You will be required to travel to other Arts Council locations across England as well as to organisations that we fund.

 

You will contribute to a positive working culture in the organisation by taking a proactive approach to learning, responding to change, inclusive practice, and environmental responsibility. ·

Key relationships

You will work with colleagues within the Business Transformation team.

You will have no formal line management responsibility. However, you will be expected to work in a fully interconnected structure that relies on collaboration, flexibility and the ability to operate within both formal and informal reporting relationships.

 

What do I need to bring to the role?

Essential (Skills, Knowledge and Behaviours)

To succeed in this role, you will have experience of providing administrative and programme support, preferably in a similar role.

 

You will be highly organised with the ability to prioritise and juggle multiple priorities and exercise effective judgement when managing complex tasks. Experience of monitoring budgets would be desirable.

 

You will have good interpersonal and communication skills – both speaking and in writing – and the ability to communicate in a confident and engaging manner and influence individuals over whom there is no formal line-management relationship.

 

You will be highly experienced in the use of Microsoft 365 tools including Word, Excel, Teams, SharePoint, Outlook and PowerPoint.

 

Finally, you will also have a good understanding of the Arts Council’s duty as a public body under current diversity legislation, the current diversity agenda and its relationship to the arts.

 

Desirable (Skills, Knowledge and Behaviours)

Experience working with data visualisation tools such as Power BI

Experience of working with project management tools such as Verto
