Job Description

To provide a range of administrative support for a range of projects across the organisation.  The post holder will:

  • Carry out administrative tasks to aid the delivery of projects and services

  • Undertake a range of correspondence activities across the wider organisation including dealing with post and correspondence, typing, scanning, copying and filing, in accordance with established systems and procedures.

  • Phone and engage with clients to book appointments, carry out triage assessments, assess the outcomes of their involvement with the service.

  • Assist with the input of confidential financial and human resources information.

  • Communicate with clients, staff, volunteers and external organisations using email, telephone, webchat, social media,  and other digital methods.

  • Support the Communications Officer to create publicity materials including posters, other ad hoc publications and to publish information on our social media channels

  • Support and line managing volunteer support worker including carrying our their supervision and appraisal sessions

  • Undertake training to ensure that knowledge and skills are maintained.

  • Prepare for, attend and take meeting minutes.

  • Support the wider Support Worker team, with reception duties at our venues

  • Carry out fire marshall and first aid duties

  • Ensure Data Protection and other mandatory training is completed on an annual basis.

  • Ensure all work conforms to Citizens Advice Wirral’s systems and procedures.

  • Demonstrate a commitment to the aims and policies of Citizens Advice

  • Abide by health and safety guidelines and share responsibility for own safety and that of colleagues.

  • Recognise the importance of safeguarding procedures within the organisation. Ensure that any concerns, disclosures or allegations of abuse are immediately reported, following the correct procedure.

  • To attend occasional out of hours events in conjunction with the work of Citizens Advice Wirral and participate in fundraising activities.

  • Carry out any other tasks that may be within the scope of the post to ensure the effective delivery and development of the service.

1 Ability to write clearly and accurately, communicate effectively face to face, on the  phone and digitally

2 Ability to and the flexibility to manage a varied workload, to prioritise tasks and meet deadlines

3 Ability to maintain established administration systems and records with a keen eye for detail

4 Ability to use a range of digital systems including Google Suite

5 Numeracy skills to effectively work within established systems

6 Ability to take a brief, ensuring tasks are understood and then work independently

7 Experience of working with volunteers and service users

8 An understanding of the Aims and Principles of Citizens Advice Wirral and a commitment to Equity and Diversity
