Job Description

The Operations Executive is a pivotal role in Glitch’s future proofing plans and ambitious growth, leading on the operational management and supporting the executive team (Executive Director and Glitch Board).

This role would suit someone highly organised with experience of developing and leading the operational management of a small charity or start up. This role requires someone who is knowledgeable of human resources, impact measurement and ensuring the delivery of high-quality services, with an interest in supporting people in a flexible, creative environment. Glitch is an ambitious charity that is developing and growing, so the role would suit somebody innovative and proactive, extremely strong on processes and systems and wants to develop and learn with the organisation. This role would suit someone who cares passionately about intersectional feminist values and who is deeply committed to diversity and equality in society. Someone with fundraising and grant reporting experience is a bonus!

Person Specification

Essential

  • Experience of developing and maintaining operational, financial and administrative systems, operational and HR processes and databases

  • Experience of setting up payroll, creating and reviewing contracts, MoUs, service agreements and implementing necessary processes

  • Experience of using databases and excel to analyse data, updating Theory of change and creating Progress and Impact (KPI) reports and executive reports to the Trustee Board

  • Knowledge of safeguarding and data protection procedures and practice

  • Ability to prioritise own work and manage conflicting deadlines and bounce back from failure

  • Flexibility, ability to move between tasks with accuracy and attention to detail and approaches work with a growth mindset and bounce back from failure

  • Understanding of and sympathy with the aims and objectives of Glitch with a commitment to intersectionality, Equality and Diversity principles and good steward of charity resources

Desirable 

  • Qualification or experience in Human Resources in a small organisation or start up, paralegal, logistics, chief of staff or facilities

  • Experience of grant reporting and liaising with stakeholders in the philanthropy sector 

  • Accountancy experience or setting, analysing budgets, forecasting and annual reports

  • Experience of developing operational design and building scalable infrastructure with strong project management skills

  • Has delivered excellent and inclusive recruitment practices 

  • Experience of analysing and mitigating operational risks

  • Experience of developing, maintaining and adhering to key charity policies and delivering staff training

  • Ability to build a healthy organisation and supporting the wellbeing and productivity of teams, volunteers, consultants and agencies (accountants and bookkeepers)

Key Outputs and Deliverables of the Contract

  • Finalising the Glitch Staff Handbook and keep it up to date

  • Developing key internal processes, health and safety policies, personnel policies, GDPR policies and insurance policies in line with our values and principles

  • Setting Glitch up on PAYE and developing payroll systems and process

  • Leading on recruitment and induction of our expanding team

  • Updating our Theory of Change, analysing and simplifying our progress and impact data and creating an impact report with recommendations for future priorities

  • Leading on our team wellbeing survey, making and implementing key recommendations

  • Providing regular administrative support for our Trustee Board and our monthly strategy days

  • Support with the creation of our Annual Report in March 2021 

  • Supporting the strategic planning, development and delivery of our new Business Plan 2021-2022

  • Ensure our organisation-wide online filing system is updated and managed, to ensure the team have easy access to relevant files - and are storing files appropriately for others

  • Ensuring all staff have adequate IT resources to be able to fulfil their roles, and that the team have appropriate tools to be able to work safely and effectively from home if required

  • Develop and oversee internal communication processes, including email, google calendars and developing principles in line with our values
