ABOUT THE ROLE:

We are looking for an Advisory Operations Associate to support our global advisory team by providing operational and administrative support to our advisors. Founders Pledge Advisors are responsible for guiding and supporting our members' philanthropy. As an Advisory Associate, you will ensure that the Advisory team operates efficiently and effectively while actively taking ownership of key deliverables.

Your days will vary depending on the team's needs. You will not only support inbox/calendar management and enter data into Salesforce but also take initiative in creating persuasive materials that help advisors bring their recommendations to life.

In this role, you will:

  • Manage email inboxes: Draft responses and prioritize requests to ensure Advisors focus on the most critical tasks.

  • Schedule meetings and prepare briefings: Take ownership of follow-ups to ensure timely execution of action items.

  • Proactively track and drive action: Monitor key deadlines, outstanding action items, and priorities for the Advisory team, ensuring accountability.

  • Maintain Salesforce records: Ensure our system reflects accurate and up-to-date records of philanthropic activity.

  • Oversee Advisory engagements: Maintain a clear view of all consultations, follow-ups, and deliverables, ensuring they stay on track.

  • Monitor timelines and dependencies: Identify potential bottlenecks and proactively address them to keep engagements running smoothly.

  • Manage inbound requests: Ensure Advisors focus on the most strategic opportunities through efficient request management.

  • Craft high-quality communications: Develop thoughtful emails, memos, and talking points to facilitate clear and compelling engagement with philanthropists.

  • Create professional materials: Design well-structured documents—including slide decks, one-pagers, and spreadsheets—to support consultations and engagements.

  • Serve as a key point of contact: Facilitate collaboration between Advisory and other teams, ensuring visibility into key initiatives.

  • Keep the Advisory team aligned: Track activities, inform team members about ongoing engagements, and facilitate knowledge sharing.

ABOUT YOU:

This role is ideal for someone with a strong background in executive support who excels at anticipating team needs, driving action, and managing complex information with discretion. You will take ownership of key deliverables, transforming information into polished, influential materials that drive strategic decisions. You will be energized by the opportunity to work in a team that directly influences significant philanthropic capital and moves those funds to high-impact opportunities.

To be successful in this role, you should be comfortable working across time zones to support a distributed team with staff in the UK and US. You’ll need to take the initiative in identifying ways to enhance team support. A keen attention to detail, emotional intelligence, and a proactive mindset focused on maximizing impact are essential.

Our preference is for candidates who are based in New York and who are able to combine working from home with time in our New York base. At minimum, only candidates who can work on EST will be considered.

You will need to have:

  • Experience with administrative/operations/executive support, including occasional calendar and inbox support, preparing briefing materials, and document/materials management 

  • Keen interest in or experience within the impact sector, with an eye towards executive support, operations, and systems/project management

  • Excellent GSuite skills (Docs, Sheets, Slides) ideally with a good design eye

  • Excellent attention to detail

  • Comfort working with data, including data entry and drawing insights from data

  • Great interpersonal skills

  • Comfort with discretion and confidentiality practices
