Job Description

You will be responsible for supporting our directors with travel and diary management and for providing operations support across the organisation. This role will work closely with the whole team but particularly with our part-time Operations Coordinator.

Responsibilities include:

Finance

  • Ensure smooth financial administration (collating invoices, gathering expense receipts and processing them in our accounting software).

  • Work with our external accountant to process payroll.

  • Work with providers to manage tax and payroll for those working abroad.

Team support

  • Ensure the smooth running of our remote office, including organising team days and retreats and supporting staff to work effectively remotely.

  • Manage our relationship with our external IT provider.

  • General team support (IT, equipment, subscriptions, inventory management, mobile contracts, travel and security).        

Director support

  • Manage the diaries of our three directors.

  • Support our directors with travel and accommodation including visas, flights, hotels, taxis and itineraries as required.

  • Process director’s expenses.

Other

  • Provide the highest level of public communications, ensuring efficient and comprehensive responses to enquiries from the public by phone, letter and email.  

  • Assist our communications team with booking interviews for partners, clients and Foxglove spokespeople.

  • Assist with routine website maintenance.

  • Ensure our donor management database is up to date.

Requirements and skills

  • Exceptional organisational and diary management skills.

  • Experience in financial administration.

  • Excellent communication skills both written and verbal.

  • The ability to manage competing tasks and prioritise an everchanging workload.

  • The ability to work under pressure and meet deadlines.

  • Problem-solving and decision-making skills.

  • The ability to work autonomously.

  • The ability to build relationships at all levels across the organisation and with external contacts.

  • A warm and sensitive manner when supporting Foxglove’s clients and partners.

Other information about the role

The role is permanent. Our team works remotely, and this role can be based anywhere. The post-holder will be required to work within or close to UK office hours. Our team travels for team days every two months and twice a year for team retreats. This role will include UK and international travel. Only candidates with the right to work in their location will be considered.
