The job of these programs is to drive huge resources into the most effective growth-stage entrepreneurial solutions around the world. We are now on the hunt for an Experience Manager to assist the Experience team in managing the logistics in the lead up to, throughout, and post our programs. The Manager will be tasked with supporting event logistics management, ensuring we are operating as a well-oiled machine that never drops the ball, and fostering a high caliber of delivery across all interactions. This person needs to do well with ambiguity and thrive in fast-paced and highly stressful situations, as they are helping to orchestrate many moving pieces and people in a high-stakes environment. This person needs to be a world-class communicator, logistics-guru, and executer. WARNING: This job involves significant international travel [post global pandemic], as our programs run globally. RESPONSIBILITIES 

  • Support with logistics, planning and delivery for 6-12+ events a year both virtual, and in person across multiple continents 

  • Coordinate across various teams at Unreasonable using communication platforms [Asana, Slack, Google Docs, Flow] to ensure a seamless planning process

  • Manage the extremely detailed and nuanced system of onboarding program guests and collaborate efficiently across various teams/teammates in real time

  • Own the Fellow (entrepreneur) on-boarding strategy and collaborate with teammates to continually improve the experience

  • Manage the Fellow on-boarding process for all programs inclusive of the following: 

    • Ensuring compliance and legal forms are completed properly in Docusign, filed in the appropriate location on Google Drive, and reach the right parties. Laddering up any roadblocks in the process to the appropriate lead.

    • Creating, distributing and managing program calendar invitations and calendar blocks across numerous global time zones and programs. 

    • Populating database profiles for Fellows (requires some technical fluency and learning our proprietary platform, Unreasonable.app). 

    • Tracking receipt and quality of media assets (including photos, videos, logos, headshots, slide decks and entrepreneur bios (here’s two examples of how this will be used: website, digital booklet.) This will require some familiarity with various file types and an ability to assess resolution/quality.

    • Consistently and meticulously update tracking documents, communicating with teammates to ensure a seamless and quick process. 

    • A knack for efficiency & ability to stay grounded while pushing things forward quickly is key. 

  • Manage mailing of fellow and mentor boxes domestically and coordinate with overseas contractor(s) for international distribution

IN PERSON EVENT FOCUSED *we are anticipating in-person programs to start up again in June 2022

  • Research, book and manage travel (flight, hotel, ground transportation, train, boat) for all program participants including Unreasonable team, Unreasonable Fellows, and program guests (~100 people per program)

  • Manage relationships with travel vendors/services, setting up business accounts as needed (airlines, car services, etc) tracking this information in a shared document

  • Meticulously populate and update all travel + logistics spreadsheets including the accommodations grid tetris - and often a process of reconfiguring rooms and bringing in more beds

  • Liaise with high-profile guests, via email or phone, on all travel communication and field any special requests in the lead up to the program

  • Track travel and adjust plans accordingly, including cancellations, alterations, and unforeseen setbacks 

  • While on site at program, manage hospitality components, conducting orientation and welcoming all guests; maintain and monitor arrival and departures schedule 

  • Develop and execute an efficient, inclusive, dynamic on-boarding process for all guests prior to traveling to program and on-site to include logistics, FAQs, participant agreements, media assets, etc for each program

  • While on site at program support with room drops, guest dietaries with F&B team and smaller detailed tasks

  • Collaborate with venue on accommodations plan, assess the capacity and configuration of rooms and determine best use of space to accommodate all guests

  • Research venues, vendors and other critical elements to our programs’ success

  • You are an expert at managing many moving parts simultaneously, and you can turn up the hustle when necessary

  • Strong ability to recognize and adopt a specific tone for written communication 

  • Highly skilled in google spreadsheets, documents; and google calendar

  • Basic understanding of digital design files (illustrator, photoshop)

  • Bonus points for experience using Slack, Asana, Airtable, Notion, Mural, Wordpress, DocSend

  • You don’t just double check your work, you triple and quadruple check because there’s no other way

  • You are comfortable with minimal direction but high expectations

  • You are equally able to work alongside a partner or team as well as have an ability to take full ownership of a project from start to finish

APPLICATION TIMELINE

  • January 21st: Application goes live.

  • February 8th: Your application is due. 

  • February 15th - 17th: If you are invited to the next round of the process, we will schedule a 20 minute phone call with you.

  • February 17th - 22nd: We will give select applicants a small "trial project” representative of the type of work associated with this position. Though we will give you 5 days to finish your "trial project," it should only take a few hours to complete.

  • February 28th - March 3rd: Assuming both of us want to continue exploring the potential of working together, we'll invite you to meet with our team for a half day interview. Simultaneously we’ll be conducting background checks and reference checks on the two to three most compelling applicants for this position.

  • March 8th: Assuming you made it through the reference checks, you will be notified whether or not the position is yours.

  • March 22nd: Ideally, those accepted will be able to join the company full time no later than March 22nd, but preferably before. That said, we will work with the selected candidate to ensure a smooth transition from their old job to new on a timeline that works best.
