We are seeking an Executive and Project Support Officer to join our team in Sydney. In this role, you will provide essential support to our APAC Managing Director and our Australian project teams, ensuring smooth operations and successful project delivery.

About You

This role suits someone with 3-5 years of administrative or coordination experience, preferably in a small business or consulting firm.
Key Responsibilities
Executive Support (50%)
Provide administrative support to the APAC Managing Director, including diary and inbox management, travel arrangements, preparation of briefing materials, proofreading, and team communications.
Manage Senior Management Team meeting schedules, agendas, minutes, and action items for both Singapore and Australia.
Organise team meetings, set agendas in consultation with the senior management team and act as the point of contact for CEO visits.
Provide administrative support to other senior management staff as needed.
Project Support & Coordination (50%)
Assist project teams with administrative and project delivery tasks, including scheduling fieldwork/interviews, coordinating project meetings or workshops, taking notes during meetings and research activities, managing external stakeholders, and providing on-the-ground support for project events.

Self-driven but works as part of a team to achieve common goals and outcomes
Fast learner and keen to learn / can learn by doing
Strong ability to meet strict deadlines
Intermediate skills in all MS Office programs, especially in MS Excel, as well as Google suite of programs (Gmail, Drive, Meet, Sheets & Docs).
3-5 years in an administration and/or coordination role, preferably (but not necessarily) in a small business or consulting or professional services firm
