The Role of People & Operations Coordinator:

This is a 1 year fixed term contract role to cover maternity leave.

As we continue to grow our business, we are  looking for a People & Operations Coordinator to take the lead on Office management, Operations, People and Finance support. The perfect candidate for this role is energetic, proactive and organised with the ability to manage their own workload. This role will reach everyone in the team and be an integral part of the glue that bonds everyone together. 

 

Key responsibilities: :

Office management & Operations 

  • All Office Management duties for our 2 storey office near Old Street. These include managing all 3rd party contractors, stocking of consumables, managing and purchasing hardware, keeping up to date  inventory, managing the mail.

  • Diary management of our weekly Hustle, Hearts & Smarts Team meetings and any other scheduling that is required. 

  • Project manage team events and manage travel bookings for the team.

  • Ad-hoc requests to support the Leadership Team (LT) 

  • Tracking office celebrations, birthdays, anniversaries and promotions.

  • Ensure General Policies & Procedures are up to date. 

  • Be the first point of contact for our Landlord including to organise repairs. 

  • Manage all Health and Safety compliance. 


People & Finance

  • Lead recruitment efforts including drafting new employee contracts and working with line managers to organise onboarding including all payroll, pension, IT and office access requirements. 

  • Responsible for organising contractors, recruiters and agencies. 

  • Support with key people processes. 

  • Managing employee exit process including return of equipment, license, IT off-boarding and conduct exit interviews. 

  • Assist the Finance team in the administration of the employee share scheme and all other reward schemes.

  • Support in roll-out and organising any employee Learning & Development programmes. 

  • Assist the Finance team in building an Operational Budget and ongoing Forecast. Track & review spend to plan.


The ideal candidate:

  • Looking for a challenging all round role which requires excellent organisation and time management skills. 

  • Proven experience in an Executive Assistant, Personal Assistant, HR, Ops or Finance role. 

  • No specific HR experience is necessary but a level of maturity and absolute discretion is essential.

  • Excellent email and phone manner. Positive and personable communicator. 

  • Used to working with multiple stakeholders and prioritising a heavy to do list.

  • Someone who spots a problem and suggests well considered solutions. 

  • Whilst this role has many stakeholders and works across all departments, you will have a strong relationship with your ‘home’ team being Finpop (Finance, People and Operations) and therefore a Team player is essential. 

  • Experience working in a fast paced and growing Agency environment is preferred.


Location:

  • Based in the UK, office near Old Street Station London.

  • Remote working available for the current climate (COVID-19 pandemic) but must be available to commute to the office as and when required.
