Job Description
The Facilities Administrator will control and implement team workflow demand for the team. They will also be responsible for resource planning and task scheduling. This is a great role for someone with administrative experience who is able to juggle multiple priorities and act as the lynchpin of the team.
Key Accountabilities
Ensure the delivery of maintenance services take place as required
Working closely with the Site Services Team in the implementation of required tasks and services
Evaluate our contractor’s to ensure they are able to deliver outsourced services
Arrange contractor site visits
Along with the Site Services Team, ensure contractors risk assessments and other documentation (e.g competence files) are suitable
Ordering equipment, materials and parts, and taking delivery as needed
Monitor financial tracking on the departments spend
Programme planning of any ad hoc project works
Assist in the preparation of budgets, client and internal reports and audits
Preparation of workflow status reports, performance reports, departmental financial reports, and any other reports as requested by the Head of Site Services
Ensure that all site and building fabric related statutory obligations are met and fully documented
Maintaining manuals, site records and any filing
Experience:
Knowledge of a facilities department
Previous experience working in an administrative or office environment
