Job Description

The Facilities Administrator will control and implement team workflow demand for the team. They will also be responsible for resource planning and task scheduling. This is a great role for someone with administrative experience who is able to juggle multiple priorities and act as the lynchpin of the team.

Key Accountabilities

  • Ensure the delivery of maintenance services take place as required

  • Working closely with the Site Services Team in the implementation of required tasks and services

  • Evaluate our contractor’s to ensure they are able to deliver outsourced services

  • Arrange contractor site visits

  • Along with the Site Services Team, ensure contractors risk assessments and other documentation (e.g competence files) are suitable

  • Ordering equipment, materials and parts, and taking delivery as needed

  • Monitor financial tracking on the departments spend

  • Programme planning of any ad hoc project works

  • Assist in the preparation of budgets, client and internal reports and audits

  • Preparation of workflow status reports, performance reports, departmental financial reports, and any other reports as requested by the Head of Site Services

  • Ensure that all site and building fabric related statutory obligations are met and fully documented

  • Maintaining manuals, site records and any filing

Experience:

  • Knowledge of a facilities department

  • Previous experience working in an administrative or office environment
