Job Description

Executive Assistant

The Challenge: 

We are a growing technology and innovation company who are on the hunt for passionate and proactive individual to join us. We are looking for an experienced Executive Assistant to support the activities of the CEO and Chair.  

You will need to be confident, very organised and motivated with an eye for detail! We are a fun, flexible working environment but also fast-paced.  This is a fascinating opportunity to work closely with our senior staff in a fast paced and dynamic environment. This role reports into the Director of Change and Planning.

Key Responsibilities:

  • Work closely with our CEO and Chair and occasionally our non-executive directors providing administrative support and taking minutes 

  • Coordinate with colleagues to arrange and manage calendars to support internal and external meetings

  • Take full ownership of the CEO’s calendar and inbox ensuring nothing is overlooked or delayed, be able to prioritise emails and urgent matters to the CEO as required to maintain the high productivity of the CEO and his key relationships.

  • Take charge of co-ordinating the CEO’s travel arrangements, including flights, hotels, car bookings, and visas, ensuring the CEO has all the details at his fingertips.

  • Act as the first point of contact for key stakeholders.  You will need to maintain good relationships via email, phone and online calls

  • Prepare fully for key meetings, ensuring rooms are available to the correct standard and equipment is functioning.

  • The CEO and Chair must be briefed in advance of meetings.

  • Support the CEO and other executives as required with the preparation of presentations, drafting letters and communications 

  • Prepare the weekly executive team agenda, attend the meeting and collate minutes and actions.

  • Liaise with internal colleagues on documentation and approvals to be reported to the CEO, Chair and wider board of directors

  • Coordinate catering for occasional in-person and hybrid events – such as for our breakfast briefing meetings

Skills & Experience required: 

  • Previous experience supporting senior staff, ideally up to board level staff

  • Excellent working knowledge of Microsoft Office 365 (Word, Excel, PowerPoint and Outlook), SharePoint, Zoom and Microsoft Teams and the ability to adapt to new systems

  • Experience with accurate minute taking

  • Excellent organisational skills with a thoughtful and proactive and personable approach

  • Previous experience of arranging small events on and off-site, including room bookings, timetabling, food orders, and activity planning

  • Able to work within a set of principles, understand prioritisation needs of the individuals you are supporting

  • Excellent communication and interpersonal skills with the ability to build relationships at all levels
