Job Description

The Production Assistant will be a key part of the Content Team, reporting directly to and working closely with the Senior Production Coordinator supporting in all key aspects of production and post production. The Production Assistant will support the Digital Content, Stories and Appeals teams in the day-to-day needs of production requirements and set up, to include; shoots, kit, post production, being the first point of contact for the edits and archive systems. This may involve liaising with multiple stakeholders both inside and outside the organisation.

Key responsibilities:

Production:

  • Assist with filming days; call sheets, researching travel/accommodation options, logistics, preparing kit, booking kit in/out, outsourcing kit if needed, setting up basic kit on location, booming

  • Logging on location, transcribing rushes in preparation for edits, outsourcing translations where needed

  • Maintain the in-house camera kit (and booking system), including hard drives and memory cards, organising servicing and repairs where needed and ensuring misc. kit supplies are available when needed (batteries, tape, COVID supplies etc)

  • Managing and updating contact bible and supporting Production Coordinator with other production logs

  • Support with logging and processing consent forms

  • Booking couriers

  • Assisting Production Coordinator with reconciling production expenses

  • Taking and sharing minutes at meetings

Post-Production, Edits and Archive:

  • Retrieving rushes or archived projects as requested

  • Respond to requests for links to content from internal/external stakeholders

  • Support Production Coordinator and Producers with receiving rushes, backing up, ingesting and preparing projects for edit

  • Support with managing deliverables in and out from/to CR/BBC/Production Companies and maintaining accurate logs

  • Entering detailed information to the library system (Nesbit, Getty) to ensure they are the ultimate knowledge resource

  • Undertake basic research using the library database Nesbit

  • Logging and processing music clearances (commercial and BBC Fastclear)

  • Logging and processing archive clearances

  • Supporting the Production Coordinator with updating logs with information on rights and restrictions

  • Helping editors get set up/and showing processes in the edit on their first day

  • Being first point of contact for edit suite troubleshooting and liaising with Support Partners when needed

  • Maintaining the archive store and ensuring it is working effectively, backing up, with ample storage and liaising with Support Partners where needed

  • Keep the edit suites and engine room tidy and organised at all times

  • Filing away Overnights – dealing with viewing figures requests

Essential Skills and Competencies:

  • Good understanding of all stages of production

  • A particularly keen interest in the technical aspects of production and post production a bonus

  • Good with word, excel and all basic office platforms

  • Able to follow workflow procedures and desire to maintain systems accurately

  • Good communicator with direct team, wider organisation and stakeholders where necessary

  • Ability to work proactively, independently and with foresight
