Job Description

The Executive Assistant will provide exceptional support and assistance to the Executive Director: Impact and Investment, to the members of the Social Impact Committee and to the wider department as requested by the Executive Director. This role also will work with Investment Coordinators to provide support across the whole department, and with a team of peer Executive Assistants to service the whole organisation.

KEY RESPONSIBILITIES:

  • Proactively manage the complex diary and mailbox of the Executive Director, including co-ordination of internal/external meetings and being responsible for all changes associated with rescheduling meetings.

  • Organise, coordinate and minute meetings for senior internal and external stakeholders including the Social Impact Committee and the Departmental Leadership Team, including preparation and circulation of agendas and papers and expense management.

  • Proactively ensure that the Executive Director is fully prepared for key external/internal meetings including preparing briefings, and liaise with contacts and greet guests on behalf of the Executive Director.

  • Coordinate all travel for the Executive Director, including bookings, liaising with stakeholders and managing expenses.

  • Work closely with Investment Coordinators to provide administrative support to the whole Department, including organising and maintaining systems and processes.

  • Manage the coordination of the departmental training and conference budget.

  • Organise and manage all departmental away days and play a central role in departmental communications including coordination and organisation of weekly departmental meetings.

  • Conduct regular meetings with the Executive Director to agree priorities for meetings and tasks.

  • Attend various meetings, set agendas and take minutes, following up action points as required.

  • Act as the central point of communication between staff, outside parties and the Executive Director.

  • Support ad hoc and regular working groups and projects within the Department as required.

  • Draft or proof-read documents on behalf of the Executive Director as required.

  • Support other Executive Assistants to ensure administrative support is provided across the organisation.

ESSENTIAL SKILLS AND COMPETENCIES :

  • Strong experience of complex diary and inbox management

  • Good experience of Executive Assistant / secretarial work at a senior level

  • Strong project management experience – acting proactively with limited guidance and carrying out multiple tasks and working to deadlines in an organised manner.

  • Exceptional organisation and planning skills, including ability to manage other people’s workloads and priorities

  • Strong experience of senior stakeholder management and engagement

  • Solid IT literacy in MS Windows, MS Office and Outlook

  • Exceptional diplomacy and people management skills
