Job Description

We are growing our team and are looking for a new colleague to support our senior team  and Board with meetings, events, travel and administration. You will also have the opportunity to lead on all-team events such as our termly all-staff events and contribute to the effective running of the organisation.

  • Lead the continuous improvement of all processes to support the CEO and senior team with travel, appointments, meetings and other administration.

  • Manage Oak’s offsite 5-figure budget.

  • Coordinate and ensure the organisation’s meetings, shared internal communications and offsites all provide the right information at the right time.

  • Manage the organisation of Oak’s external governance including assisting with documentation, board papers and meeting organisation. 

  • Prioritisation of incoming requests to the CEO and their senior team.

  • As a member of the Oak Team, contribute to the planning and culture of the organisation.

  • Deputise for Head of Planning and take on other general responsibilities as required.

  • Work in cross-functional and product oriented squads with colleagues from across the organisation, as required.

Knowledge, skills and experience

  • 3+ years experience in an Executive Assistant role. 

  • Experience of managing a 5-figure budget. 

  • Excellent communicator working with tact and diplomacy who is comfortable across a range of media (online/zoom, telephone, email, letter, face to face). 

  • Exceptional organisation and planning skills with proven ability to prioritise and work under your own initiative. 

  • Demonstrable prioritisation and time management skills operating with attention to detail and ensuring all tasks are completed.
