Job Description

Job Description
Projects and Operations Officer
Responsible to: Executive Assistant
Team: Operations Team
Term: 12 months contract
Location: Remote (with some occasional in-person UK meetings)
Hours:
24 hours per week (Split across three days per week. Our core working days are Tuesday, Wednesday, Thursday, to allow effective collaboration time with colleagues).
Line management responsibility: None
Budget responsibility: None
Key external relationships: External travel booking company, Learning and Development suppliers
Responsibilities
Provide proactive administrative support to the Planning Team, acting as first-line support and servicing a range of administrative processes (for example reconciling credit card transactions, purchasing learning and development materials for the team, and keeping internal records up to date).
Support the implementation of organisation-wide internal projects, including Oak’s Learning and Development offer, reward and recognition programme and other projects as required.
Provide logistics support for team events and office days across the organisation, including sourcing venues, supporting the team with travel arrangements and arranging any consumables.
Work in cross-functional and product-oriented squads with colleagues from across the organisation, as required.
As a member of the Oak Team, contribute to the wider success of the organisation and support and role model our culture of inclusion, freedom, responsibility, and continuous improvement.
Knowledge, skills, and experience
Previous work experience providing administrative support (including operating autonomously on tasks and projects) and proficiency using G Suite/ MS Office essential.
Excellent communicator who is comfortable across a range of media (online/zoom, telephone, email, letter, face-to-face)
Excellent organisation and multi-tasking skills, with acute attention to detail.
A proactive and collaborative approach to communication and problem-solving, with the ability to maintain confidentiality and handle sensitive information with discretion.
The successful candidate will have a desire to contribute in all areas to ensure Oak is successful. You will be comfortable working at pace, with a range of digital systems (including proprietary ones as required) and you will continuously look at ways that the team can keep getting better. You will be excellent at working as part of a remote team, building relationships and managing your time effectively.
