Job Description

Finance & Procurement Administrator

Role Overview

We are seeking a dynamic Finance & Procurement Administrator to assist with administering procurement processes and other accounting duties.  The role is cross-functional, being split between the Procurement Department and the Finance Department, with the latter representing the larger slice.  

 Procurement

Overview

As part of the Procurement Team supporting Commercial Services, the candidate will work closely with both teams to manage compliance of shopping carts and creation of purchase orders in SAP. 

The focus will be on ensuring that shopping carts align with the company’s governance procedures, managing any issues with internal stakeholders and escalating when needed. Attention to detail and the confidence to challenge will be key factors to success in this role but support will be readily available.  Emphasis will be on challenging and improving ways of working, supporting a culture of continuous.

Key Responsibilities

  • Review and approve shopping carts, querying where there is any lack of certainty and escalating to the Procurement Manager when a decision needs to be taken.  This represents over 50% of the procurement workload and might constitute 1½ to 2 days per week

  • Process new supplier forms, perform credit checks and set up new suppliers

  • Support the set-up of due diligence questionnaires and review of data

  • Update contract tracking data and escalate when a contract is overspending

  • Maintain timely reporting in relation to framework spend and payment compliance

  • Update the IT Spend Data

  • Manage new reporting relating to the incoming procurement act

Finance

Overview

The candidate will be an organised and detail-oriented Finance Administrator performing a variety of accounting and administrative tasks to ensure smooth financial operations.

Key Responsibilities

  • Processing purchase invoices and expenses

  • Collating data and evidence in support of project claims

  • Raising Sales invoices and Claims

  • Assist with the preparation of month-end project accounts

  • Assist with any transactional activities and purchase ordering for projects

  • Assist with the preparation, collection of data and evidence for project audits

  • Purchase Order expediting

  • Admin tasks relating to SAP

  • Data analysis

  • Actively participate in the finance team’s ever-changing requirements.

The Successful Applicant

  • Likely to be a part-qualified Accountant (AAT) looking for career development

  • A confident and efficient self-starter

  • Proficient in Excel

  • A proactive self-learner with a desire to enhance skills and knowledge.

  • Meticulous attention to detail

  • An understanding of procurement protocols and awareness of recent legislation is preferable

  • A collaborative team player, capable of working effectively with colleagues
