Job Description

Introduction to the role

As a key member of the Business Development team in Collins Learning, the Business Development Assistant will provide vital support to the team in developing new business and help support existing print and digital customers.  

The varied role involves coordinating the follow through of any new contracts by setting up accounts, invoicing, and supplying contracted titles; and ensuring accurate customer records are held as well as helping to prepare for and follow up on book fairs, business trips and other key events as well as support in new customer research.

The Business Development Assistant will have the opportunity to begin developing solid commercial and organisational knowledge in a small, busy and agile team.

Key tasks and accountabilities

Administration and Operational Support:

  • Sending out samples (print and digital) to leads and customers and supplying full content/data to customers in accordance with completed contracts and as directed by the account manager and/or team contracts manager;

  • Input customer and contract information into our CRM, ensure any customer information held is up to date;

  • Setting up accounts for new customers and onboarding new suppliers through the compliance and purchase order systems as directed;

  • Ensuring that customers are up to date with their royalties accounting and that statements are checked and filed, issuing royalty invoices to customers;

  • Invoicing customers for any amounts due under the contracts;

  • Assisting contracts manager and account managers with quarterly forecasting and flagging any significant changes;

  • Check the subrights report against the income recorded in the licensing summaries and flag up any differences on a quarterly basis;

  • Manage any WordBanks Online, API and Permission enquiries mailboxes, subscriptions and revenues and ensure any relevant spreadsheets are up to date;

  • Keep updated any content lists, spreadsheets and catalogues and support in the drafting and administration of the BizDev marketing lists;

  • Support the signature and filing of contracts and addenda and the integration of them into any contracts or accounting systems.

  • Photocopying, scanning, filing, sending courier mail and sending out internal and external mail;

Business Development:

  • Assist in the day to day account management of our existing licensing and co-edition partners, liaising with the Collins content acquisition, product development, finance and production teams as required

  • Carry out product testing and approval of our reference and education partners’ products, ensuring the proper branding and quality of output

  • Assist in the preparation for fairs, exhibitions, events and international trips to meet partners and potential new business partners

Skills required

  • Administrative experience

  • Financially/numerically literate

  • Competent with Excel/Word

  • Excellent communicator (written and oral)

  • Well organised, able to prioritise
