Job Description
Background checks: Due to the nature of the work we do with global governments and partners, all employees are required to pass BPSS verification.
The role

The EAOA role consists of two broad sets of responsibilities:
Providing administrative and operational support for our leadership team.
Executing and improving key operational processes as part of our Operations and People team.
Role breakdown
Executive Associate (50%)
Short-term and long-term diary planning for the leadership team; facilitating follow-ups and preparation where required.
Coordinating global travel and accommodation requirements for the team.
Organising and managing logistics for meetings, including video conferences, external meetings and board meetings, ensuring all necessary materials are prepared in advance
Communicating with key stakeholders, including directors, investors and other partners.
Preparing, proofreading, and revising communications, presentations, and other documents on behalf of the leadership team
Assisting our events and operations team in the planning and execution of complex events, often with external stakeholders
Supporting the leadership team with ad-hoc research projects
Office management and administration (we expect this to require around two days per week in the office)
Operations (30%)
Supporting and leading cross-functional projects
Supporting Apolitical’s People Lead with onboarding of new joiners into the team
Supporting Apolitical's People Lead to provide an exceptional employee experience
Digital file management of legal and compliance documentation
Assisting with the organisation of team and company events
Finance (20%)
Invoicing and responding to financial queries from partners
Scheduling and payment of bills
Reviewing and reconciling company and employee expenses
Filing and administration (from bank statements to funding documents for investors)
Maintaining critical internal documents, including our share register, cap table, and investor communications lists.
You'll need
At least 1 year of experience as an Executive Assistant to senior leadership in a high-growth company.
Experience communicating with critical external stakeholders, including the board, investors and other partners.
Excellent written and verbal communication skills
Meticulous attention to detail
Exceptional time management
Flexibility and adaptability
Strong problem-solving skills and a knack for recognising opportunities for process, policy and organisational improvements
