Job Description
Introduction to the role
The Procurement & Expenses Administrator role sits within the Finance department and interacts with all areas of the business, from our Publishers, Publicity & Marketing Teams, to our Finance counterparts across Europe and the US.
It is a wide, varied role where you will be key in influencing the day-to-day Purchase to Pay process to ensure the smooth running of our business.
Key tasks and accountabilities
Employee travel & expenses (T&E) administration in SAP Concur Expense tool
Timely and accurate auditing & processing of claims
Ensuring VAT is correctly captured
Preparing payment requests for international employees
Providing reports upon request for Legal, Audit etc.
Training buyers and potential new suppliers on the onboarding tool
Liaising with buyers and the legal team
Daily monitoring and follow up of open item reports
Creating & amending Production purchase order records as required by Production Controller
Assisting buyers with the Purchase Order process
Maintaining the Purchase Order approval matrix in line with company policy
Providing cover/assist with corporate card administration, company travel and fleet management
Other processing and tasks as required by the AP & Procurement Manager
Your first six months
Within 6 months you would be familiar with all aspects of T&E processing and with the supplier onboarding tool.
You would be well established as the subject matter expert and go-to person on T&E and supplier onboarding.
Skills & Experience required
Administration experience
Knowledge or experience of a finance function
Knowledge or experience of dealing with customers and delivering excellent customer service
Skilled communication - able to communicate professionally and effectively to suppliers and all levels and areas of the business
Proficiency in Microsoft Office Suite
Exceptional customer care
Excellent organisational and prioritisation
