Job Description

Do you want a Project Coordinator position which will make a real difference? If so, you may be who we’re looking for!

Our Project Coordinator will be involved in a number of interesting projects and will be responsible for assisting Project Managers in organising these ongoing projects. This role involves monitoring project plans, schedules, work hours, budgets, and expenditures, organizing and participating in stakeholder meetings, and ensuring that project deadlines are met in a timely manner.

To be successful as a Project Coordinator, you will need to be able to work on tight deadlines, be competent in using Microsoft Office applications such as Word and Excel, and have exceptional verbal, written, and presentation skills.

Key Responsibilities:

Providing project support to Technical Leads/Project Leads/Senior Project Managers and Project Managers throughout the Project Lifecycle on key project processes, including (but not limited to):

  • Maintaining and monitoring project plans, project schedules, work hours, budgets and expenditures, risk and issue management and reporting.

  • Organising, attending and participating in stakeholder meetings.Documenting and following up on important actions and decisions from meetings.

  • Preparing necessary presentation materials for meetings.

  • Support project deadlines.

  • Determining project changes.

  • Providing administrative support as needed.

  • Undertaking project tasks as required.

  • Providing support to ensure that stakeholder views are managed towards the best solution.

  • Chair and facilitate meetings where appropriate and distribute minutes to all project team members

  • Contribute to the development and further improvement of project processes and tools.

  • Support Project Governance activities

  • Supporting internal users in better understanding our processes and tools

Skills & Experience required:

  • Minimum one year experience as a project administrator, coordinator or PMO analyst.

  • Exceptional verbal, written and presentation skills with excellent attention to detail.

  • Ability to work effectively both independently and as part of a team and to engage with all team members and be able to tailor their communication style accordingly

  • Competency in Microsoft applications including Word, Excel, and Outlook.

  • Knowledge of file management, transcription, and other administrative - procedures.

  • Ability to work on tight deadlines.

  • Accurate and understandable: actions, questions, notes, risks and issues are recorded and shared.

  • The following are successfully managed: arranging meetings, rooms booked, meetings recorded, actions chased, monthly reports produced, project communications are produced and shared, and Purchase orders raised.

The purpose of your new team:

The Project Management and Governance team manage the vast number of the projects within the Catapult to a successful outcome.

The team works closely with all departments within the Catapult as well as a varied range of UK and international stakeholders and SME’s to pull together and manage the resources required for successful delivery of a varied range of projects across all industries.
