Job Description

Living Wage Foundation

The Living Wage Foundation was launched in 2011 by Citizens UK to tackle in-work poverty and ensure that workers earn enough to live on and participate in family and community life. Citizens UK is the home of community organising with diverse civil society alliances set up to develop leaders to work on the issues that matter to them, such as the Living Wage.

The Living Wage is a movement of businesses, organisations and people who believe that a hard day’s work deserves a fair day’s pay. The real Living Wage is an independently-calculated hourly rate based on the cost of living and announced each November during Living Wage Week, our annual celebration of a growing network of over 10,000 Living Wage Employers.

The Living Wage Foundation celebrates employers that voluntarily choose to pay the real Living Wage through an accreditation scheme that recognises a long-term commitment to fair pay and has secured pay rises for 340,000 low paid workers.

Purpose

The Living Wage Foundation has an exciting opportunity to join our dynamic team as an Operations Officer. We are looking for a highly motivated and organised individual to maintain and administrate our systems. The role will be an integral part of the Living Wage team dealing with enquiries from our network of Living Wage Employers and supporting accreditation processes including merchandise and welcome packs.

The Operations Officer will need to be numerate, have analytical skills, strong written communications and an eye for detail. The suitable candidate will need a desire to work with data and develop their CRM expertise, whilst problem solving and seeking out improvements to our accreditation systems and processes.

Main Responsibilities

Project Management

Deliver work targets on time and to standard to support the Foundation’s progress incl. tracking performance and expenditure:

  • Keep the Salesforce CRM database up to date with accurate information; identify and source incomplete information within the database; take responsibility for tidying, cleansing, and backing up existing data

  • Create reports to support the team to analyse our performance, whilst sourcing and analysing data for the press, communications, and research purposes and for dealing with network enquiries

  • Provide a high-quality support service to the Foundation team and our regional franchises enabling our ability to accredit Living Wage Employers Liaise with the team to identify required systems improvements and work with the Operations and Data Manager and external developers to create solutions

  • Provide operational support for all aspects of the accreditation systems, including identifying and fixing errors, offering guidance to the network via email and telephone and to the team through internal communication systems

  • Process weekly plaque orders for new accreditations

Learning and expertise

  • Keep abreast of new developments in systems, IT, and processes, apply new learning to work and respond effectively to feedback

  • Support the team to use our systems effectively, fielding queries from the team and supporting with inductions and training

  • Keep internal training manuals up to date to ensure the Foundation’s team can access clear information about our processes and ensuring their training requirements are met.

Communications

  • Communicate effectively within the Foundation ensuring that information is reliably passed to those who need it

  • Keep templates, forms, and related comms materials up to date, incl. on Salesforce, Mailchimp, S-Docs and Form Assembly

Develop and manage external relationships

  • Demonstrate ability to service and support a range of external relationships including our employer network, systems providers and freelance developers

  • Be the main point of contact for merchandise and systems queries from the network

Develop and manage internal relationships

  • Work effectively with colleagues across Citizens UK, actively participate in the team and organisational wide events

  • Provide tech support for various accreditation team meetings

Income and resources 

  • Take personal responsibility for the careful stewardship of LWF’s resources

  • Track expenditure for systems providers and the associated budget

  • Contribute to plans and proposals to grow sources of income resources

Contribute towards Citizens UK’s strategic objectives

  • Responsibility for delivering agreed areas of the Foundation’s work plan

  • To work collaboratively with the LWF team and across Citizens UK to ensure that we are meeting the expectations of our network and stakeholders

  • Understand how your role contributes to the purpose of the Foundation and the core mission of Citizens UK

  • Implement Citizens UK’s and the Foundation policies, procedures, and values in own work
