Job Description
Job Title: Procurement Administrator
The Challenge: As part of the Commercial Services team, reporting to the procurement manager, this individual will work closely with the finance team to manage shopping cart compliance and purchase order creation in our SAP By Design system.
They will undertake a variety of administrative tasks, including but not limited to: creation of letters to notify suppliers about tender information, collation of clarification queries and coordination of responses, setting up meetings and coordinating discussions, doing desktop research to identify relevant suppliers, contacting relevant suppliers, triaging new requests and escalating issues, capturing actions in meetings and communicating these effectively, administrating our mailbox, task management software and contract database.
They will ensure that shopping carts align with Catapult governance procedures, managing any issues with internal stakeholders and escalating when needed. Attention to detail and the confidence to challenge will be key factors to success in this role but support will be readily available.
They will seek to challenge and improve ways of working, supporting a culture of continuous improvement by offering their own ideas and suggestions. They will provide resilience across the Commercial Services Team at an administrative level when required.
There are various reports they will be responsible for, including reporting against Framework spend, payments compliance notices and working with other finance colleagues to assess suppliers economic and financial standing. They will set up new suppliers on the system and make sure they have been through the appropriate due diligence protocols. They will also conduct basic reporting on spend data to support with managing compliance and pipeline building.
They will have the opportunity to support on other priorities within the Commercial Services Team for example knowledge sharing or procurement activities. They will become familiar with the commercial lifecycle and its associated processes at the Catapult and be able to speak confidently to internal stakeholders about process application.

There will be a lot of work across both the Commercial Services and the Finance teams and there will be an expectation that close collaboration will be maintained by the individual in this role.
Skills & Experience required:
Experience working with Microsoft products and confidence using various IT systems once familiar.
Ability to work independently whilst able to recognise when to escalate issues.
Ability to manage multiple competing priorities and remain organised. Good time management skills.
Willingness and curiosity to learn about the Catapult and its Finance and Commercial Services functions.
Ability to communicate clearly in written and verbal formats.
Previous experience in either a finance and/or procurement related role desirable but not essential.
Experience working with finance systems is desirable but not essential.

The team will provide this:-
Early engagement with business leads and project managers to support them with the development of their collaborative & commercial opportunities by providing clarity of information, contract scrutiny, risk evaluation and compliance advice allowing the Catapult to leverage its position, outputs and impact.
By supporting Business Development (Sales) Leads, Bid and Project Managers, Budget holders & their objectives - delivering best value, compliance & timely contract award. The team will facilitate compliant market & supplier engagement within internal control mechanisms & relevant procurement and public contract regulations.
